The client required a global chauffeur drive management company that was able to accommodate all locations within their roadshow itinerary – including arrival transfers, time critical ‘day-long’ hires between meetings and onward departures. Their key priority was to ensure consistency in service, no matter where their finance director/ CEO was travelling.

Our Solution
Our roadshow coordinators double checked the multi-city itinerary to ensure all addresses were correct and up-to-date and that the timings allocated for their scheduled arrivals, roadshow meetings and departures were sufficient. We suggested a few key changes to ensure the clients stayed on schedule. With a multi-city roadshow, we always check for local events and any potential route disruptions, which allowed us to pre-empt any possible issues on the day. Once all checks were completed, we confirmed the itinerary back to the client and dedicated a specific contact number for each city. This contact number was then assigned to the chauffeur prior to the hire starting in the relevant city to allow the roadshow coordinator to contact the chauffeur if required.

The client hosted a gala dinner on board The Royal Yacht Britannia and required a luxury chauffeur service for 25 VIP couples which included partners of the business, employees and clients. This was the company’s flagship event of the year and they needed dedicated chauffeurs for each couple to take them from their home address or hotel to the start of the red-carpet. The key priority for the client was to assign a company that could cope with the capacity of the vehicles required and to manage any ongoing changes – essentially ticking off event transport from the organiser’s to-do list.

In Scotland, our extensive all burgundy fleet allowed us to help the client meet their event objective of creating the ‘wow factor’.
As the guests were travelling at rush hour, we pre-planned all routes ensuring that the chauffeurs had enough time for each guest to arrive on schedule. On the evening of the event, lead guests (or their PAs) were sent a text message in advance of their car arriving, confirming their collection time and chauffeur details. Dockside, we had two senior chauffeurs, managing the seamless drop-off and collection of all event guests. Many of the couples were delayed leaving the event so having our on-site team allowed the correct vehicles, allocated to each couple, to be brought to the end of the red carpet ahead of their departure. With constant changes being communicated by the on-site coordinators, all chauffeurs were fully aware of alterations to their departure times and locations.

The client required a ground transport provider who could deliver an all-encompassing transport service for VIP airport transfers, preparation, practice and race days. The key priority for the client was to have a UK-based supplier who offered 24/7 support and reassurance, and who negated any issues caused by language-barriers.

Our Solution
Upon receiving the requirements from the client, we checked through all of the details to ensure flight information, terminals of arrival, estimated times of arrival and the size of the vehicles (per number of passengers) was accurate and viable. We arranged for English speaking coordinators to be available 24/7 – both on site in China, and also in our UK based headquarters. This was vital as the spoken English in Shanghai was not as prevalent as other Far East cities, such as Beijing.
Our operations coordinator was on-site throughout the event to ensure communication between the customer, our head office and the chauffeurs was accurate and seamless. He helped to ensure that schedules were adhered to as much as possible, and to coordinate local logistics.
Airport transfers were coordinated from the main International Airport in Pudong, Shanghai. Arrivals were spread over two terminals, so two English speaking coordinators were provided (one at each terminal) to ensure that arrivals were met and escorted to the correct vehicles. We provided branded signage including name boards and flags to ensure we were visible at all times in the terminal.
Our operations coordinator arranged daily transfers between the team hotel and the Shanghai circuit, ensuring that all vehicles were able to transfer the team to the circuit at the earliest available time. This also involved ensuring valid permits were present in the vehicles to allow entry to the correct parking area. Once at the circuit, the operations coordinator and the vehicles remained available to the team should they be required during the day.
Curfew times provided by the FIA had to be strictly adhered to, so it was important that the vehicles were ready to transport the team from the circuit at the appropriate time.
Having a bilingual coordinator on-site at the circuit at all times proved vital, as she was able to act as the communication link between the predominantly English team and the staff of the local authorities – who spoke very little English, if any at all.
Finally, transfers were arranged taking the team from both the circuit and the hotel to the airport – leaving plenty of time to check in luggage which would be taken on to the next race.

Clients travelled to their 4 star hotel from the US, Europe and Middle East, and all arrived individually. Each couple enjoyed a day at the golf, stayed overnight and went on to complete other business engagements for a further two days.

Our Solution
Due to the complexity involved in coordinating each guests’ transport arrangements throughout their trip, our operations team planned ahead; managing staff, organising overnight accommodation for chauffeurs and accruing availability. This meant that the transport was at the client’s disposal, providing them with the opportunity to travel freely and flexibly. Last minute changes to high profile guests’ travel plans were all discretely managed each and every day.
For all guests departing on match days, we arranged an “on course” luggage vehicle managed by a lead chauffeur which ensured all suitcases were labelled and ready for collection at the appropriate times. The chauffeur communicated with all other chauffeurs to ensure the vehicles and luggage were ready should the play have ended early or extended to a play off.

The client required a ground transport provider who could offer total logistical support for the duration of the conference. This included daily transport management to ensure seamless delegate group movements between various city centre hotels, as well as evening social programmes. The key priority for the client was to have a flexible service provider willing to take transport off their hands.

Our Solution
We managed the airport arrival list, double checking all flight arrival times and flight numbers. The client requested specific nameboards for arrivals which were utilised for all hires. At around 16:00 on the main arrival day, there were more than 25 passengers arriving within a three-hour period so we arranged an airport coordinator to welcome any delegates, should there have been any early arrivals or late departures. A daily shuttle service was organised using our luxury people carriers, transporting delegates between 07:00 – 09:00 each morning. For two evenings during the congress there were events held at the Royal Concert Hall and Kelvingrove Art Gallery, both of which required coaches at disposal.

This new client required 7 of the same type of vehicle, spacious enough for large filming equipment for a shoot moving throughout the length and breadth of Scotland. Chauffeurs therefore needed to be experienced with a broad knowledge of locations and flexible in working hours as some filming days could be more than 15 hours long. The clients’ priority was to work with a team who were on hand 24/7 to manage changes to schedules and dispatch additional vehicles if necessary.

With a fleet of over 45 cars in Scotland, we were easily able to offer 7 of the same vehicle. Many of our chauffeurs have worked with us for in excess of 5 years, with extensive knowledge of Scotland and the rest of the UK. All chauffeurs involved signed a non-disclosure agreement prior to the hires commencing. Vehicle seating was adapted to accommodate equipment and split fold rear doors allowed for filming on the move. The client has returned to Little’s for the filming of every series thereafter.
