Delivering a Multi-City European Tour with Total Precision
Unique Challenge
Our client, a high-profile entertainment group, required transport for a multi-city European tour spanning 4 weeks, covering 6-7 cities with approximately 30 passengers travelling throughout. The brief included a mix of Sprinters and people carriers, depending on the requirements of each location.
Having experienced issues on previous tours, the client was particularly cautious about supplier selection. They were clear about transport companies they did not want to use, and needed reassurance that reliable, trusted partners would be in place throughout the tour.
Solution
Our team acted immediately to streamline what is typically a complex and time-sensitive quoting process. Recognising that European coach bookings can be delayed by incomplete information and lengthy back-and-forth communication, we issued a structured brief to all suppliers at the outset – covering requirements, key questions, and terms and conditions within a single email.
This proactive approach eliminated delays and enabled us to return a full quote within just a few hours – an exceptional turnaround for a four-week, multi-city European tour.
Attention to detail was critical throughout. We:
- Carefully selected and briefed suppliers, ensuring none of the client’s previously flagged companies were used
- Matched vehicle types to each city’s specific requirements
- Advised on correct coach sizing to avoid capacity or access issues
- Considered logistical factors such as parking and routing at each location to prevent complications
A dedicated member of our reservations team oversaw the booking from start to finish, ensuring complete ownership and consistency. Direct communication, including phone confirmations, allowed us to manage updates in real time and respond instantly to any changes.
With strong supplier relationships and thorough due diligence in place, the operation ran seamlessly. As expected with a live touring environment, minor last-minute adjustments arose, but these were handled quickly and efficiently without disruption.
Feedback
The tour was delivered exactly as planned, with all transport running smoothly across every city.
The client was extremely pleased with the organisation, speed of response, and overall execution, following up with positive feedback that reflected the seamless coordination of what is typically a complex European touring operation.
